GoCardless - Settlement with mix from Xero and RPS

This article provides step-by-step guidance for reconciling transactions when settlements include payments from both Xero and the Recurring Payment Service (RPS) deposited into your clearing account.

If you have transactions initiated by both Xero and RPS that are settled together in a single batch, please follow the steps below to streamline your reconciliation process.

 

In the example below, $4.60 NZD was invoiced via Xero and $5.75 NZD via RPS, with both transactions settling together in a single deposit to our bank account.

Step 1. Click on Find & Match.

Locate the amount that was automatically settled into your RPS clearing account. To do this, search for the clearing account by name or reference in Xero, or enter the total transaction amount displayed in your clearing account.


Step 2. Verify that the difference matches the amount shown in your GoCardless Virtual Bank Account.

The total will differ by the exact amount deposited into your GoCardless virtual bank account. Review your GoCardless account in Xero and confirm these figures align. In this example, the difference is $4.60.

Step 3. From the New Transaction drop-down menu, select Transfer Money.

To align the totals, create an additional transaction to transfer $4.60 from your GoCardless virtual bank account to your main bank account. This ensures both transactions combine to match the total deposit of $10.35.

From account: GoCardless virtual bank account

To account: Your bank account where GoCardless deposits are settled

 

In this example, both transactions correspond to the total received amount of $10.35. Click Reconcile to finalise the process.
