Integrating Stripe with Autotask for Automated Credit Card Payments

By treating Autotask as the absolute source of truth, Cloud Depot allows you to collect Stripe payments seamlessly, regardless of your backend accounting software.

  • Platform Agnostic: Whether you use Xero, QuickBooks, Sage, or a localized accounting package, the Stripe integration functions identically.
  • Direct PSA Integration: Cloud Depot looks directly at your Autotask approved invoices to calculate and trigger Stripe payment collections.
  • Automated Reconciliation: Once Stripe collects the funds, Cloud Depot can automatically update the payment status back into Autotask.

 Embedding Stripe "Pay Online" Buttons in Autotask

With Cloud Depot RPS, you can embed dynamic Stripe payment links directly into Autotask invoice PDFs and Autotask email templates.

This allows clients to instantly authorize a Direct Debit mandate or pay a one-off invoice.

1. Autotask PDF Invoices

You can insert a custom "Pay via Direct Debit" button directly into the footer or summary section of your Autotask PDF invoice template. When the PDF is generated, Cloud Depot automatically attaches the unique customer token and invoice balance to the button.

2. Autotask Email Templates

When emailing invoices out of Autotask, you can include an HTML-styled Stipe button in the body of the email notification. This gives clients a frictionless, one-click path to complete their payment.

How it Works (The Workflow)

  1. Invoice Generation: An invoice is created and approved within Autotask PSA.
  2. Payment Collection: If Auto-Pay is enabled, Cloud Depot automatically instructs Stripe to pull the funds.
    • If Manual Pay is selected, the customer clicks the "Pay Online" button on their Autotask PDF/Email to authorize the transaction.
  3. Autotask Update: Cloud Depot pushes the payment date back into Autotask automatically.
